How VettedBench collects, uses, protects and shares your information.

This Privacy Policy explains how VettedBench (“VettedBench”, “we”, “us” or “our”), a talent-marketplace platform, collects, uses, discloses, retains and safeguards personal information when you visit vettedbench.com (the “Site”) or use our services (together, the “Services”). It also describes the rights and choices available to you.
Please read this Policy carefully. By accessing or using the Services, you acknowledge that you have read and understood it. If you do not agree with it, please do not use the Services.
1. Who we are
VettedBench is operated by a private limited company incorporated under the Companies Act, 2013, with Corporate Identity Number U72900MP2016PTC041980 and GSTIN 23AAKCM9272B1ZI, having its registered office at GH-76, Scheme No. 54, Indore, Madhya Pradesh 452010, India.
For the purposes of applicable data-protection laws — including India’s Digital Personal Data Protection Act, 2023 (“DPDP Act”) and, where applicable, the EU/UK General Data Protection Regulation (“GDPR”) — we act as the data fiduciary / data controller responsible for the personal data processed through the Services. Our contact details are in Section 16.
2. Scope of this Policy
This Policy applies to three groups of users: (a) candidates — professionals who create a profile, apply to roles, or get vetted; (b) clients / employers — organisations seeking to hire talent; and (c) vendors / staffing partners. It does not apply to third-party websites, products or services that we do not control (see Section 14).
3. Information we collect
3.1 Information you provide to us
- Account & contact data: name, email address, phone number, password (stored only in hashed form), and, for clients/vendors, company name, role and website.
- Candidate profile data: current role, skills, years of experience, location/city, notice period, work-mode preference, LinkedIn or portfolio links, and your resume/CV and its contents.
- Applications & communications: the roles you apply to, messages, enquiries and any information you choose to share with us by email, phone, WhatsApp or web forms.
- Assessment & interview data: where you choose to take an AI skill assessment or an AI voice interview, we collect your responses and scores and, for interviews, the audio/video recording, its transcript, and AI-generated evaluations of your responses, together with limited technical integrity signals captured during the session.
3.2 Information we collect automatically
- Usage & device data: pages viewed, referring URL, approximate location, browser and device type, and similar diagnostic data, collected via first-party, privacy-respecting analytics. We do not use invasive third-party advertising trackers.
- Cookies: essential cookies required to sign you in and keep the Site secure. See Section 8.
3.3 Information from third parties
We may receive information about candidates from partner staffing firms or from public professional sources (for example, a public LinkedIn profile) where you or that partner have shared it for recruitment purposes.
4. How we use your information
We use personal information to:
- create and manage your account and provide the Services;
- match candidates to suitable roles and present pre-vetted candidate profiles to prospective clients;
- run skill assessments and AI interviews you choose to take, and generate evidence-based evaluation reports;
- communicate with you about opportunities, applications and service updates;
- operate, secure, debug and improve the Services and prevent fraud or misuse;
- comply with legal obligations and enforce our terms.
5. Legal bases for processing
Where the GDPR or DPDP Act applies, we rely on one or more of: your consent (which you may withdraw at any time); the performance of a contract with you; our legitimate interests in operating and improving a talent marketplace (balanced against your rights); and compliance with legal obligations. Taking an AI assessment or interview is always optional and based on your consent.
6. AI assessments & automated evaluation
Some vetting steps use artificial intelligence to help evaluate skills and communication. AI-generated scores are decision-support tools, not automated final decisions — a human reviews outcomes, and clients make their own independent hiring decisions. You may request human review of, or provide context on, any assessment result by contacting us. Assessments and interviews are never a mandatory condition of creating a profile or applying.
7. How we share information
We do not sell your personal data. We share it only as follows:
- With prospective clients / employers: for candidates who are shortlisted or vetted, we share your profile and, where relevant, your evaluation report and interview evidence with specific clients considering you for a role.
- With service providers (processors) who help us run the Services under confidentiality obligations — for example cloud hosting and infrastructure, AI/model providers used for assessments, email and messaging delivery, and analytics. These providers may process data only on our instructions.
- For legal reasons: where required by law, regulation, legal process or a governmental request, or to protect the rights, safety and property of VettedBench, our users or the public.
- Business transfers: in connection with a merger, acquisition, financing or sale of assets, subject to this Policy.
8. Cookies & analytics
We use a small number of essential cookies to authenticate you and keep the Site secure, and first-party analytics to understand aggregate usage. We do not use advertising or cross-site tracking cookies. Most browsers let you control or delete cookies; disabling essential cookies may prevent you from signing in.
9. Data retention
We retain personal data only for as long as necessary for the purposes described in this Policy — typically for as long as your account or candidate profile is active, plus a reasonable period thereafter to meet legal, accounting or dispute-resolution needs. When data is no longer required, we delete or anonymise it. You may ask us to delete your data at any time (see Section 12).
10. Data security
We apply reasonable technical and organisational measures appropriate to the risk — including encryption in transit (HTTPS), hashed passwords, access controls and authenticated access to files such as resumes and interview recordings. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
11. International data transfers
We are based in India and use reputable service providers that may process data in other countries. Where personal data is transferred across borders, we take steps to ensure it remains protected in accordance with applicable law.
12. Your rights & choices
Subject to applicable law, you have the right to:
- Access the personal data we hold about you and obtain a copy;
- Correct or update inaccurate or incomplete data;
- Delete / erase your data (including your profile and resume);
- Withdraw consent where processing is based on consent, and object to or restrict certain processing;
- Data portability, where applicable; and
- Grievance redressal — raise a concern with our Grievance Officer (Section 16) and, where applicable, complain to the Data Protection Board of India or your local supervisory authority.

13. Children’s privacy
The Services are intended for working professionals and are not directed to anyone under 18. We do not knowingly collect personal data from children. If you believe a child has provided us data, please contact us and we will delete it.
14. Third-party links
The Services may contain links to third-party sites (for example, an employer’s careers page). We are not responsible for the privacy practices of those sites; please review their policies.
15. Changes to this Policy
We may update this Policy from time to time. When we do, we will revise the “Last updated” date above and, for material changes, provide a more prominent notice. Your continued use of the Services after an update constitutes acceptance of the revised Policy.
